Workplace Services Coordinator 

1 FULL-TIME PERMANENT POSITION 

The Opportunity 

The Workplace Services Coordinator is responsible for the efficient operation of the workplace environment by managing daily logistics; supporting employee needs; and maintaining a safe, organized and productive workspace. This role supports a positive workplace culture by delivering the best workplace experiences to employees, and ensuring that facilities, supplies and services meet organizational standards.  

Alberta Central’s workplace includes ~24,000 square feet of office space on one floor and the position provides workplace services for ~70 employees. 

What You’ll Be Doing 

  • Oversee daily workplace operations, infrastructure, and common areas to ensure safety, functionality, cleanliness, and adherence to organizational service standards and building codes. 
  • Maintain departmental objectives, policies, and procedures that align with corporate strategic initiatives. 
  • Enforce workplace policies and procedures to ensure safety, compliance and efficiency. 
  • Monitor the annual facilities budget, including cost forecasting, invoice processing, financial reporting, and identifying cost-saving opportunities. 
  • Serve as the primary point of contact for the building property manager, facilities vendors and external service providers. 
  • Coordinate workplace preventative maintenance, repairs and vendor services to ensure a clean and functional workspace. 
  • Coordinate all administrative workplace services, including office supply inventories, kitchen and coffee provisions, parking, fax services, main phone and other support services. 
  • Assist with onboarding logistics for new employees, workspace setup, support space planning, desk assignments, floor plan updates and office moves or reconfigurations as required. 
  • Manage mailroom and courier operations, including timely receipt, tracking, internal delivery, and outgoing shipments, as well as postage equipment maintenance and reporting. 
  • Serve as the secondary contact for emergency response, business continuity, and crisis management related to the physical workspace, including evacuation planning and readiness drills. 
  • All other duties as assigned. 

 How You’ll Succeed 

  • Minimum 2 years of progressive facilities management experience, preferably in a corporate office environment supporting 50-100 employees.   
  • Grade 12. Some post-secondary education or relevant certifications in in Facilities Management, Business Administration, Environmental Health & Safety, or a related field are a plus. 
  • Demonstrated expertise in budget management, vendor coordination, and health & safety compliance. 
  • Strong organizational and time-management skills; excellent communication and stakeholder engagement abilities; experience in budget planning, monitoring, and cost control. 
  • Ability to multitask, problem-solve effectively and ability to work both independently and as part of a team. 
  • Proficiency Level of Microsoft Office Suite: Word – intermediate, Excel – intermediate PowerPoint – basic and Outlook – intermediate 
  • On-call 24/7 for after-hours emergencies 
  • Ability to complete the physical aspects and heavy lifting requirements of the role. 
  • Must be bondable
