Executive Assistant to the CEO & Board

ROLE SUMMARY
This position is a senior level executive assistant supporting the President & CEO, Board of Directors, and the Chief Financial & Governance Officer. The Executive Assistant (EA) is responsible for a wide variety of executive administrative duties with daily operations and activities towards achieving the overall corporate strategic goals. Receiving general/corporate direction from the President & CEO, this position also works closely with the Governance Team in managing all board administration and operations. The EA is expected to work with a high degree of independence, initiative, and confidentiality.
KEY ACCOUNTABILITIES
- Provide proactive calendar management for the President & CEO, collaborating with internal and external stakeholders to manage priorities for Alberta Central and credit union system meeting requirements.
- Provide general meeting support, travel arrangements and expense report support to the President & CEO and Chief Financial & Governance Officer, and other executives as required.
- Responsible for monitoring and triaging CEO’s email inbox.
- Plan and coordinate all board and committee meetings logistics including invitations, agendas, activities, travel arrangements, hotel reservations, expense reports, venues, and catering.
- Coordinate, format, and deliver board and committee material packages to the board of directors via board portal in advance of meetings.
- Coordinate meeting presenters and materials for delivery to support board and committee meetings.
- Attend board and committee meetings to take and transcribe minutes and act as administrative support to board members as required.
- Manage board document portal and ensure timely review, completion and distribution of current releases.
- Maintain the Governance Manual ensuring board approved policies are current.
- Partner with the Governance Team to support the annual meeting process and the annual election of directors.
- Maintain all board of directors’ records, including declarations and biographies, and process director expense submissions while monitoring board budget to uphold the board remuneration policy.
- Participate in annual budget process with support to the President & CEO and board of directors.
- Support risk management by following established policies, procedures, and controls, both corporately and within area of responsibility and escalate discrepancies to management.
- Provide mentorship and back-up support to administration team members
- All other duties as assigned.
REQUIREMENTS
- Related post-secondary, formal education or administration certification required
- A minimum of 8 years of experience in providing executive support, including managing electronic calendars, meeting requirements, and travel arrangements.
- Previous financial services industry experience is an asset.
- Advanced proficiency in the Microsoft Office 365 Suite (Excel, Word, PowerPoint, and Outlook) and Adobe Acrobat Pro.
- Ability to work well under pressure in a fast-paced collaborative and team-oriented work environment.
- Must be bondable.
